Understanding user challenges
SDO employees faced delays in obtaining needed office supplies due to paper-based request forms, while the Supply Unit struggled with manual logs and stock discrepancies. As a UI/UX designer, my goal was to design an accessible self-service requesting platform for DepEd-authenticated employees while giving the Supply Unit an intuitive tracking dashboard to streamline approvals and item dispensing.
The Solution: Designing a Dual-User Inventory Flow
Through user flow mapping and role-based interface design, I structured a seamless experience for two key user personas. SDO staff with DepEd email accounts can browse inventory and submit item requests in a few clicks. On the admin side, the Supply Unit receives real-time requests, tracks stock levels visually, and logs dispenses without paper friction or visual clutter.

Intuitive UX design eliminating paper friction for SDO staff
Role-Based Navigation
Designed distinct, tailored dashboard layouts for two key personas—a simple self-service portal for general DepEd staff to submit requests, and an advanced management view for the Supply Unit to process dispenses.

Automated Report Generation
Designed a streamlined report tool allowing admins to generate filterable monthly and summary audit reports in seconds.

Streamlined Data Entry
Designed a clean modal and form layout that simplifies adding new items to the inventory list, reducing visual fatigue and input errors for admins.

By redesigning the inventory experience from paper-based forms to a unified digital platform, the system achieved immediate operational and user experience improvements:
1
Zero Paper Dependence
Transitioned all supply requests into a seamless digital workflow, completely eliminating lost physical paperwork.
2
Faster Request Approvals
Reduced request-to-dispense turnaround time through automated notifications and quick-action admin controls.
3
Accurate Stock Audits
Minimized inventory discrepancies with real-time automated logging and instantaneous monthly report generation.
